Become A Board Member
Wondering how to bring your professional development to the next level? Consider joining the ballot for the Board of Directors. We work together to achieve the goals of our Chapter and its members by collaborating on ways to support professional and personal development through programming, networking, mentorship, and pursuit of CPSM certification. Our Board of Directors is also responsible for seeing that the chapter remains fiscally responsible for our members today and in the future. And – we have fun! Serving on the board is one of the best ways to connect with other members and learn together. Board positions include:
President (Voting Member)
- Oversee the leadership of the Upstate NY chapter
- Find and prepare potential President-Elect to take leadership
- Guide, support and problem solve with board members
- Official spokesperson of organization and liaison to SMPS National
- Create and manage budget with Treasurer
- Coordinate quarterly meeting for Board of Directors including providing agenda
- Coordinate annual board retreat including venue, agenda, social activity
- Presidential contributions to quarterly newsletter including President’s Message
President-Elect (Voting Member)
Three-year commitment (President-Elect, President, Immediate Past President)
- Work with President to prepare to take role in the future
- Canvas for upcoming year’s board positions and send official ballot via StarChapter
- Provide backup for anything that is the responsibility of the President
- Management of Sponsorship Program
- Attend President’s Leadership Symposium hosted by SMPS National in Alexandria, VA in spring prior to Presidential Term
Immediate Past President (Voting Member)
- Serve as advisor to the President
- Provide general advice on knowledge and needs of the Chapter
Treasurer/Secretary (Voting Member)
Two-year term *Can be split into two separate positions – both two-year terms, both voting members
- Create and maintain chapter budget
- Maintain and manage financial accounts, both M&T and Bill Highway platforms
- File annual audit and taxes and financial report to SMPS National
- Review all chapter contracts and binding agreements
- Provide monthly treasury report to Board of Directors
- Compile meeting minutes and action items for board meetings and distribute to all parties
- Coordinate program registration needs including nametags, sign-in sheet, etc.
- Maintain and edit any updates to Chapter Policies & Procedures and bylaws
Education/Programs Director
Two-year term
- Lead the effort in providing programming that addresses SMPS’ six Domains of Practice
- Identify programs and locate speakers for local chapter events
- Co-develop joint programs with allied organizations
- Provide program information including speaker biography, topic, etc.; Provide to Communications Director for program correspondence
- Make arrangements and negotiate with venues (registration, location, food, audio/visual, etc.)
- Provide annual education report to SMPS National
Membership Director
Two-year term
- Enforce retention and recruitment program
- Identify new member activities and recruitment events
- Update and maintain mailing list of members and prospects in StarChapter
- Welcome new members and promote membership opportunities
- Track membership expirations, renewals, drops, etc. and conduct appropriate outreach
- Provide prospective member and member milestone report prior to quarterly board meetings
Communications Director
- Compose quarterly newsletter and produce event and program notifications, etc. in StarChapter
- Develop and refine chapter branding strategies in alignment with SMPS National
- Conduct surveys via StarChapter after each program and provide results to Board of Directors
- Maintain Chapter website
Public Relations Director
- Promote and engage the Chapter through various media outlets
- Maintain Chapter social media platforms; post to all four platforms (Facebook, LinkedIn, and Instagram) on a weekly basis
- Work closely with Communications Director for cohesive and coordinated graphics, content, etc.
